John: We are here at this wonderful facility, the National World War I Museum in Kansas City. The Museum is a 140,000-square-foot facility, supported by 35 employees and numerous volunteers serving over 500,000 museum visitors annually. The facility consists of administrative offices, ticketing, multiple museum areas, meeting rooms,  event theater, restaurant, curator archives, and the Liberty Memorial Tower. I would like to introduce you to Patrick Raymond, the Vice President of Facilities Technology here at the Museum. Patrick, you’ve been using property track for almost three years now. Could you share with us your experience of using PropertyTRAK with your numerous responsibilities and how it has helped your operations?

Patrick: PropertyTRAK has helped us organize and prioritize all of our areas of operation. It’s an easy to use service request system for our employees, provides work order assignment and tracking for each department. It has greatly improved our communication between employee staff and vendors and improved our efficiencies to the degree it has helped us save the equivalent of one full time employee.

John: I believe that you have created four PropertyTRAK departments for Facilities: IT, Audio Visual, and Protection. For your employees and overall efficiency, how has PropertyTRAK’s single interface to your multiple departments helped your operations?

Patrick: It has allowed my departmental managers to directly receive service requests for their specific departments. The feedback from employees has just been great and our response times have improved.

John: Regarding equipment management, explain how you have utilized the PropertyTRAK preventive maintenance templates and the recurring equipment maintenance tools. 

Patrick: We have set up all of our equipment for periodic inspections and maintenance on the calendar. The recurring work order process includes specific instructions and requirements, so the staff or vendor know what is required to complete the scheduled work.

John: What has been your experience communicating and working with vendors within PropertyTRAK?

Patrick: PropertyTRAK provides convenient access to all of our approved vendors’ descriptions of services, notes, documents, agreements, and photos for each vendor. We conveniently assign work orders to individual vendor technicians. We can track their response times and vendor companies embrace it because it’s easy for them to use and they feel a part of the world where one museum has a preferred vendor. 

John: Do you have any final comments regarding price value and would you recommend PropertyTRAK to other building managers?

Patrick: The people behind PropertyTRAK have been great to work with during this setup. Ongoing customer service has been very responsive to any questions that have come up.
